Terms & Conditions

By booking, accessing, or using any services provided by Soulful Madinah Tours ("we", "us", or "our"), you ("the Client", "you", or "your") agree to be bound by these Terms and Conditions. These terms apply to all ziyarat services, tourism guidance, transportation, and specialized tour services we offer throughout the Kingdom of Saudi Arabia, including in Madinah and Makkah.

Please read these terms carefully before making a booking. If you do not agree with any part of these terms, you must not use our services.

2.1 Booking Confirmation: All bookings are subject to availability and confirmation. A booking is considered confirmed only upon receipt of a deposit or full payment, and issuance of a confirmation email or voucher.

2.2 Payment: Full payment or a non-refundable deposit (as specified at the time of booking) is required to secure your reservation. We accept payments via bank transfer, credit card, or other methods as communicated to you. All prices are quoted in Saudi Riyals (SAR) unless otherwise stated.

2.3 Pricing: We strive to ensure all prices are accurate. However, we reserve the right to correct any errors or omissions and to adjust prices due to changes in supplier costs, exchange rates, or government taxes. Any such adjustments will be communicated to you prior to confirmation.

3.1 Cancellation by Client: Cancellations must be made in writing via email to our official contact address. The following cancellation fees apply:

• More than 30 days before service date: 10% of total booking value.
• 15–30 days before service date: 25% of total booking value.
• 7–14 days before service date: 50% of total booking value.
• Less than 7 days before service date: 100% (no refund).

3.2 Cancellation by Us: We reserve the right to cancel or modify any tour or service due to unforeseen circumstances, including but not limited to natural disasters, political instability, or government restrictions. In such cases, we will offer you a full refund or the option to reschedule at no additional cost.

3.3 Refunds: Refunds, where applicable, will be processed within 14 business days of the cancellation request. Any bank fees or currency conversion charges will be deducted from the refund amount.

4.1 Travel Documents: You are solely responsible for ensuring you have valid passports, visas, and any other travel documents required for your journey within Saudi Arabia. Soulful Madinah Tours is not liable for any consequences arising from incomplete or incorrect documentation.

4.2 Health and Conduct: You are responsible for your own health and safety. We recommend that you have adequate travel insurance. You agree to conduct yourself in a respectful and lawful manner during all tours and interactions. We reserve the right to terminate your participation in a tour without refund if your behavior is disruptive, offensive, or poses a risk to others.

4.3 Timeliness: Please adhere to all scheduled pickup and meeting times. We are not responsible for missed tours or services due to your lateness.

5.1 Soulful Madinah Tours acts as an intermediary and service provider. We do not own or operate hotels, transport providers, or other third-party services. We are not liable for any loss, injury, damage, delay, or irregularity caused by such third parties.

5.2 Our total liability to you for any claim arising from or in connection with our services shall be limited to the total amount paid by you for the specific tour or service in question.

5.3 We are not liable for any indirect, consequential, or incidental damages, including but not limited to loss of enjoyment, emotional distress, or lost opportunities.

🙏 Spiritual Note: While we strive to facilitate a meaningful and enriching spiritual experience, the acceptance of prayers, forgiveness, or any religious outcome is between you and the Divine. Our role is to serve as a guide and facilitator.

6.1 Vehicles: We provide comfortable, air-conditioned vehicles, including Black GMC Yukons and other models as specified. All vehicles are insured and operated by licensed drivers.

6.2 Itinerary Changes: We strive to follow all planned itineraries. However, due to factors such as traffic, weather, or site closures, we may need to adjust the order of visits or substitute sites with comparable alternatives. We will inform you of any significant changes.

6.3 Special Requests: We will make every effort to accommodate special requests (e.g., wheelchair access, infant seats), but such requests are subject to availability and cannot be guaranteed.

These Terms and Conditions are governed by and construed in accordance with the laws of the Kingdom of Saudi Arabia. Any dispute arising from or relating to these terms shall be subject to the exclusive jurisdiction of the courts of Madinah, Saudi Arabia.
